Next month marks 7 years since I’ve started helping businesses streamline their processes, and if there’s one thing I’ve learned, it’s this: fitness centers and gyms need more than just great trainers — they need solid CRM software to keep things running smoothly.

Trust me, I’ve seen it all. From small boutique gyms to massive fitness franchises, they all face the same challenges: managing client relationships, tracking memberships, scheduling classes, and ensuring personalized service.

Over the years, I’ve tested a variety of gym management software and CRM platforms. Some were a total game changer, while others were… well, let’s just say, less than ideal.

After all the testing, I can confidently say that gym CRMs fall into two main categories:

  1. The Membership Powerhouses — These platforms are designed for gyms that thrive on memberships, monthly payments, and class scheduling. They have robust billing systems, member management tools, and even marketing features built-in.
  2. The Community Builders — These CRMs focus more on customer engagement, fostering community, and tracking individual progress. They’re great for studios that offer personalized training, one-on-one coaching, and customer retention strategies.

The question is: what’s the best for your gym?

If your business model relies heavily on memberships, class schedules, and recurring billing, you’ll need a system that doesn’t falter when it comes to handling data.

Mindbody, for example, is an industry favorite, and for good reason. It’s got everything a large gym could need: comprehensive scheduling, easy billing, even marketing automation.

However, there’s a catch — it’s not exactly budget-friendly. In fact, Mindbody works best for established gyms that can afford to invest in a full-service CRM. If you’re running a smaller gym, you might want to consider alternatives like Zen Planner. It’s less pricey and has all the essential tools, though it lacks the depth of Mindbody’s advanced features.

Community Builders: Create Strong Member Loyalty

On the flip side, if you’re more focused on customer engagement, building a fitness community, and keeping your clients coming back for personalized services, you’ll want to go with a system like Virtuagym or PushPress.

Both offer tools that help you stay connected to your clients, track their individual progress, and offer a more personalized experience. Plus, they allow for easy integration with apps like MyFitnessPal, which means you can keep your members engaged even outside of the gym.

So, What’s Right for You?

It all comes down to how you run your gym.

If you’re managing hundreds of memberships and need a robust system to handle all the admin work, you can’t go wrong with Mindbody or Zen Planner.

But if your focus is building a close-knit community and keeping clients personally engaged, PushPress and Virtuagym are the way to go.

Whatever you choose, remember that the best CRM is the one that works for your business model and meets the needs of your clients. And trust me, finding the right one will make your life — and your gym — run much smoother.
